A brand voice profile is a documented specification of how an executive communicates, used to constrain AI content generation toward the executive's actual style and to guide pre-publication review toward consistent, on-voice publishing.
A functional brand voice profile contains five elements. A communication style description that characterizes the executive's natural register: formal or conversational, dense or accessible, assertive or exploratory. This description should use specific, concrete language rather than abstract adjectives like "professional" or "authentic."
Sentence structure preferences that reflect the executive's actual writing patterns: typical sentence length, use of parallel structure, paragraph length, and any structural patterns that appear consistently in content the executive has produced.
A vocabulary guide that includes terminology the executive uses consistently and terminology they avoid. This should include the specific banned words and phrases that do not reflect the executive's voice, alongside preferred alternatives.
A topic scope declaration that defines which topics are in scope for the executive's publishing strategy and which are explicitly out of scope. Out-of-scope topics are as important as in-scope ones for preventing content drift into areas where the executive does not have clear authority.
Concrete examples of on-voice content alongside concrete examples of off-voice content. Negative examples are often more useful than positive ones for constraining AI generation, because they define the boundaries of acceptable output more precisely.
This document should be reviewed and updated quarterly as the executive's role, focus, and communication style evolve.
